Buying labels looks like the simplest purchase in your supply chain until the first roll jams, the print smears off in the warehouse, or the barcode fails at the fulfilment centre and the whole consignment comes back. Almost every one of those failures traces to a decision made at the point of ordering — the wrong material, the wrong ribbon, or a roll that physically does not fit the printer.

The split that matters most is the last two. A preprinted sticker is one artwork repeated ten thousand times, so it is cheap and it is what you want for branding, MRP panels and warning labels. A serialised label is ten thousand different labels, each carrying its own code, which is what traceability, warranty registration and anti-counterfeiting actually require. They are produced on the same press and they cost about the same, but only one of them lets you tell two physical units apart.
Choosing the label material
Start with one question: what does this label have to survive, and for how long? Everything else follows from the answer.

There is a second decision hiding inside the first: direct thermal or thermal transfer. Direct thermal labels are heat-sensitive and need no ribbon at all, which makes them cheap and simple — and makes their print fade in months, faster in a hot Pune warehouse or on a dashboard. They are correct for shipping and picking labels that get read within weeks. For anything that has to be legible a year later, use thermal transfer with the right ribbon.
Matching the ribbon to the label
A thermal transfer ribbon is a thin film coated with pigment. The printhead melts that pigment onto the label. If the pigment chemistry does not suit the label surface, the print will look perfect leaving the printer and rub off in transit. This is the single most common complaint we hear, and it is always a mismatch, never a defect.
Wax
Paper labels, indoor use, general cartons. Cheapest per metre. Smudges under a fingernail, so keep it away from handling-heavy jobs.
Wax-resin
Coated paper and some synthetics. Survives warehouse scuffing and prints small text and dense barcodes noticeably sharper. The sensible default for most product labels.
Full resin
Polyester and synthetic labels only. Resists chemicals, solvents, moisture, cold chain and sunlight. Required for pharma, drums and anything outdoors.
Three sizing rules save a lot of money. First, the ribbon must be slightly wider than your widest label — never narrower, because the exposed strip of printhead wears out fast and a printhead costs far more than a ribbon. Second, check the maximum roll outer diameter your printer accepts; a 450 metre roll will not fit a desktop unit. Third, confirm whether your printer needs the coating wound in or wound out, because the two are not interchangeable and a wrongly wound roll simply will not print.
Precut, continuous, and the core size nobody checks
Precut labels are die-cut to a fixed size with a small gap between them. The printer senses that gap, so every print registers in the same place on every label. This is what you want in almost every case, and it is how we supply printed runs — precut on a continuous roll with a 76 mm core.
Continuous stock has no gaps and no die-cut; the printer or an operator cuts it. It only earns its place when the label length genuinely varies, as on some shelf tickets and weigh labels. If you are unsure, you want precut.
❌ The mistake that wastes a whole order
Ordering the right label on the wrong core. A perfectly good roll of 50 × 25 mm labels on a 76 mm core will not mount on a desktop printer built for a 25 mm core, and no amount of forcing will fix it. Check the core size and the maximum roll diameter before you order, not after the delivery arrives.

When to stop printing your own labels
Printing in-house makes sense when volumes are low and the artwork changes often. It stops making sense at three specific points, and it is worth recognising them before you have bought a printer you did not need.
The first is full colour. A thermal printer prints one colour. The moment your label needs brand colours, a photograph or a gradient, a desktop thermal unit cannot produce it at any quality. The second is volume: past a few thousand labels, the labour of feeding rolls and babysitting a desktop printer costs more than having the run produced. The third is variable data — a different barcode or QR code on every single label — which needs software most small operations do not have, and which is unforgiving of a jam halfway through a run.
That third case is where a printed run genuinely earns its cost. What is the difference between direct thermal and thermal transfer labels?

Wax-resin handles the scuffing a warehouse puts on a label and prints sharper small text and barcodes. Full resin is required for polyester and synthetic labels, and for anything facing chemicals, cold chain, moisture or outdoor exposure. Wax on a polyester label will simply smear off.
What size ribbon should I order for my label printer?
The ribbon should be slightly wider than your widest label, never narrower, or the uncovered edge of the printhead wears out early. Check your printer manual for the maximum roll outer diameter and the core size, and whether it needs ribbon wound coated-side-in or coated-side-out. Desktop printers usually take 300 metre rolls on a half-inch core; industrial printers take 300 to 450 metre rolls on a one-inch core.
